Information We Handle

We process account details, role assignments, student profiles, parent and guardian links, attendance, learning evidence, messages, fee invoices, payment references, pickup authorization records, transport trip activity, route events, health logs, incident reports and audit logs.

How It Is Used

The platform uses this information to run school operations, protect pupils, communicate with families, verify pickup and transport actions, manage fees, produce academic records, support authorized staff workflows and maintain security audit trails.

Role-Based Access

Access is limited by role and scope. Parents can only see linked children. Teachers are scoped to assigned classes. Drivers are scoped to assigned routes and students. School finance users work in finance records. Platform super admin access is reserved for SYS Systems operations and is not exposed in school user management.

Sharing And Processors

Data is shared only with authorized school users and trusted service providers needed to deliver the platform, such as hosting, database, payment verification, email, SMS, push notification, monitoring and support providers. We do not sell student, parent or staff data.

Payments

Fee payments may be processed through mobile money, card, bank or payment partners. The platform stores payment references, amounts, invoice links and receipt details. Full card details are handled by the payment provider, not by the school dashboard.

Transport And Location

Driver location and route status are used for active school transport visibility, pickup and drop-off confirmation, emergency response and audit history. Live location is shown only to users with a legitimate route or school oversight need.

Security And Retention

The platform uses authenticated sessions, role checks, scoped records, audit logs and protected infrastructure. Records are retained for school administration, legal, safety and accounting needs, then removed or archived according to school policy.

Your Choices

Parents, guardians, staff and school administrators may request correction, export or deletion of eligible personal data through the school. Some records, such as accounting, safeguarding, incident and audit records, may need to be retained where required.
